1. Who We Are

Ariona is a product of Ariona Online, a company registered in the United Kingdom. These Terms & Conditions govern your use of the Ariona platform, including the web dashboard and the booking assistant. By registering an account you agree to these terms in full.

2. The Service

Ariona provides an AI-powered booking assistant delivered via WhatsApp, an online dashboard for managing appointments, staff and services, and optional integrations (e.g. Google Calendar). We reserve the right to modify, suspend or discontinue any part of the service at any time with reasonable notice.

3. Your Account

  • You must be at least 18 years old and legally capable of entering a contract.
  • You are responsible for keeping your login credentials secure.
  • You must provide accurate business information and keep it up to date.
  • One account per business. You may not share or resell access to your account.

4. Acceptable Use

You agree not to:

  • Use the platform for any unlawful purpose or in violation of any applicable laws.
  • Send unsolicited messages (spam) to customers via the WhatsApp integration.
  • Attempt to reverse-engineer, copy or resell the platform or its AI models.
  • Upload or transmit malicious code or interfere with the platform's infrastructure.
  • Use the service to process special category data (health, biometric, etc.) without appropriate safeguards and explicit customer consent.

5. Customer Data & GDPR

As a business using Ariona, you are the Data Controller for your customers' personal data. Ariona Online acts as a Data Processor on your behalf. You are responsible for:

  • Ensuring you have a lawful basis to collect and process your customers' data.
  • Providing your customers with an appropriate privacy notice.
  • Honouring customer data subject rights (access, erasure, portability).

Ariona provides built-in tools to help: customers can text DELETE MY DATAat any time to permanently erase all their records. Conversation messages are automatically purged after the retention period you configure (default 365 days).

6. Third-Party Services

Ariona integrates with third-party services including OpenAI (AI responses), Green API (WhatsApp messaging) and Google Calendar. Your use of these integrations is also subject to their respective terms and privacy policies. We maintain Data Processing Agreements with these providers as required by GDPR.

7. Billing & Subscriptions

Subscription fees are billed in advance on a monthly or annual basis. All fees are non-refundable except where required by law. We will provide at least 30 days' notice of any price changes. You may cancel your subscription at any time; your access will continue until the end of the current billing period.

8. Limitation of Liability

To the maximum extent permitted by Irish and EU law, Ariona Online shall not be liable for any indirect, incidental, special or consequential damages arising from your use of the service, including lost revenue or missed bookings due to service interruptions. Our total aggregate liability shall not exceed the amount you paid to us in the 3 months preceding the claim.

9. Intellectual Property

All intellectual property in the Ariona platform (software, branding, AI models, documentation) remains the sole property of Ariona Online. You retain ownership of your business data and customer records.

10. Termination

We may suspend or terminate your account immediately if you breach these terms, engage in fraudulent activity, or fail to pay outstanding fees. Upon termination you may request an export of your data within 30 days, after which it will be deleted.

11. Governing Law

These terms are governed by the laws of the United Kingdom. Any disputes shall be subject to the exclusive jurisdiction of the courts of the United Kingdom. If you are a UK consumer, you may also have rights under the laws of your country of residence.

12. Changes to These Terms

We may update these terms from time to time. We will notify you by email at least 14 days before material changes take effect. Continued use of the service after that date constitutes acceptance of the new terms.
